  • The Administrative Assistant manages The Yard office and administrative duties with a focus on finance and development. They primarily support the Executive Director, to whom they report, as well as additional Yard fundraising and programming team members.

    Reports To: Executive Director
    Employee Class: Part-Time, 24 hours/week
    Work Location: 1 The Yard, Chilmark, MA 02535 

    Duties and Responsibilities:
    Serve as a warm and engaging, first point-of-contact for Yard patrons and community members, including greeting walk-in visitors; answering phone calls and distributing messages; managing Yard email and phone accounts, collecting and sorting mail; and checking in audience members, youth programs, and workshop attendees at Yard events.

    Regularly communicate with The Yard’s Bookkeeper and support basic financial processes, such as artist payments, managing vendor & customer accounts, coding and classing expenses and income, managing receipts and reimbursements, making bank deposits, and reconciling reports.

    Support the annual organizational audit and tax preparation, working with the Executive Director, Board Treasurer, Bookkeeper, and Auditor

    Enter donations into the database (Spektrix) and work with Development staff to support appeals, mailings, and donor acknowledgment processes, including writing thank you notes and issuing tax deduction letters, and providing administrative support to the Grant Writer.

    Provide focused administrative support to the Executive Director and Board of Directors (i.e. calendar scheduling, meeting prep, making travel arrangements, managing reimbursements, etc.)

    Other duties and special projects as needed.

    Qualifications & Qualities:
    You have a minimum of 3-5 years of experience working in an administrative capacity in an office setting.

    Familiarity with the inner workings of nonprofit and/or arts/cultural organizations is a plus

    You enjoy organizing information and data, nerd out over spreadsheets, enjoy refining a process, and love helping others to do their best work.

    Whether an introvert or an extrovert, you like working with people and helping them find the answers they need.

    You are inspired by the idea of supporting artists, performers, and creative types.

    Rate of Pay
    The Administrative Assistant is a non-exempt, hourly position, paying between $20-$22/hour.

    Physical requirements
    This is an in-person position, requiring time spent at The Yard's office in Chilmark, MA. Some remote work may be possible during the winter season. In addition to administrative duties (sitting, standing, navigating a multi-building campus across uneven surfaces, event and meeting set-up), this position includes minimal local travel (on-island) for business-related errands or off-site events.

  • The Summer Production Manager (PM) works collaboratively with Yard staff to realize a successful season of dance, live performance, and education events. The Yard’s 2024 Season includes four mainstage dance productions at the 750-seat Martha’s Vineyard Performing Arts Center, as well as community events, site-specific pop-up performances, workshops, and education programs, at The Yard’s main campus in Chilmark and community sites across the island.

    Reports To: Programming Director
    Employee Class: Full Time Seasonal Position. This is a split position: with part-time, remote work starting in March (est. 20-30 hours/month); and full-time onsite work at The Yard on Martha’s Vineyard from June 9 - August 3, 2024

    The PM oversees all technical aspects of performances and other live events. They oversee two full-time, seasonal Production team members (Sound Supervisor, Production Assistant), and serve as the primary production liaison to all offsite venues for performance and residency activities. As Lighting Supervisor, the PM oversees all aspects of all lighting-related production, including preparing plots and paperwork, leading lighting hang and focus, working with guest designers and creative teams, and assisting in the design of new works.

    The Production Manager is an organized, charismatic leader that upholds The Yard’s vision of presenting performances and supporting artists. They should be enthusiastic about collaborating with dance artists in the creation and presentation of new and existing works. This is a very hands-on position.

    Principal Duties and Responsibilities
    - Lead the planning and successful implementation of all technical aspects of performances and related residency activities. Run and manage all shows and productions.
    - Serve as primary liaison to offsite venues. Communicate venue rules, regulations, and special requests to Programming Director, staff, and artists
    - Create and implement production and rehearsal schedules.
    - Supervise production staff during load ins, technical rehearsals, shows, and load-outs; hire and supervise overhire crew as needed
    - Advise artistic staff on production needs and requirements, balancing creative vision with budget and organizational capacity
    - Review, edit, and redline technical riders in collaboration with the Programming Director
    - Track and forecast all production expenses and cash flow, and manage aspects of The Yard’s production budget. Oversee production purchasing, staying within determined budget parameters.
    - Manage technical equipment and needs necessary for the successful production of events, including in-house equipment and rentals
    - Work directly with Yard staff (Programming Director, Company Manager) and artists to coordinate and support residency and rehearsal schedules, travel schedules, itineraries, special requests, hospitality, and other needs pertaining to the venue.
    - Supervise the day-to-day upkeep and maintenance of The Yard’s Studio and Theater, including schedule and readiness for use by guest artists
    Assist in the planning and execution of special events as needed
    - Oversee Yard technical inventory and equipment, ensuring functionality, proper use and suggest any needed repairs or replacement
    - As needed, work with the Property Manager and others to ensure overall upkeep and care of The Yard’s campus.

    Lighting Supervisor Duties and Responsibilities
    Assessing lighting plots and plans for touring productions
    Initiate quotes and secure lighting and equipment rentals as needed
    Depending on the unique and changing needs of each residency, tour, or program – and the way the PM chooses to structure their team based on skills and expertise – the Lighting Supervisor may be called upon to act as a Lighting Designer, Lighting Director, Master Electrician, Programmer, Board Op, and/or Deck Elec.

    Other Duties and Responsibilities:
    The Yard has a small, dynamic staff and relies on cross-departmental collaboration. All positions are expected to routinely contribute in areas outside of their primary focus to ensure successful programs and operations. Examples include but are not limited to answering the office phone, helping patrons purchase tickets, assisting with campus projects, and providing day-to-day support to artists-in-residence.

    Skills, Experience & Qualifications:

    - Minimum 3-5 years professional experience with dance, or performing arts production management, and a passion for collaborating with artists at all stages of their careers.
    - Applied experience in theatrical lighting, production, and design
    Comfortable working at heights up to 25’ .
    - Experience with Google Suite/Enterprise programs, Excel spreadsheets, and ability to learn and master software programs. Demonstrable experience with Vectorworks.
    - Cultural competency to work with individuals from diverse backgrounds and life experiences.
    - Excellent interpersonal skills and the ability to work independently and collaboratively with other staff
    Highly organized and adept at managing multiple projects simultaneously.
    - Excellent communication skills, both verbal and digital.
    - Familiarity with arts industry technical riders and contracts.
    - Familiarity with residency/retreat style facilities and programming a plus.
    - A valid driver’s license

    Compensation
    Spring: March - June 8 (part-time, flexible hours, remote) - $40/hour, estimated 20-30 hours/month, up to a maximum total compensation of $3,600
    Summer: June 9 - August 3, 2024 (full-time, on site) - $1,200/week, plus housing

  • Title: MARKETING MANAGER
    Reports To: Program Director
    Employee Class: This is a split position: with part-time, remote work starting as soon as possible (15-20 hours/week); and full-time onsite work at The Yard on Martha’s Vineyard from June 9 - August 3, 2024.

    The Marketing Manager will create and implement marketing and communications strategies for The Yard, helping to build the Yard’s brand, raise visibility and support for its mission, and expand audiences. They will work collaboratively with other members of The Yard’s team, media outlets, businesses, partners, board members and other constituents, to build the organization’s brand, grow and diversify its audience, and expand its donor base and overall contributions.


    The Marketing Manager will oversee a part-time social media assistant, as well as a team of media contractors who provide services in photography, graphic design, website design and management, and social media. They serve as an active member of the Yard’s team, at times assisting with general organizing and overall operations.


    Principal Duties and Responsibilities:
    MARKETING/COMMUNICATIONS
    - Develop and implement organizational brand and marketing strategies to ensure coherent messaging and a unified voice throughout communication channels
    - Create innovative strategies for amplifying the work of artists-in-residence and communicating The Yard’s impact, locally and nationally with regards to the Island ecosphere and the wider dance and arts industry
    - Create and manage the marketing calendar. Manage and support content creation for all promo and digital campaigns and platforms (ads, postering, social media, email marketing, website)
    - Coordinate production and distribution of all print materials (season booklets, performance programs, etc), driving accurate content, overseeing timelines, and managing third party printer relations
    - Bolster relationships with local and national press; pitch stories and work closely with local reporters; write and distribute press releases and season assets.
    - Create strategy and implement targeted business sponsorship efforts.
    Engage with artists and partners to inform marketing materials and strategies, and coordinate marketing material collection from artists and partners for season announcements and general promotion
    - Manage a team of contractors who provide photography, videography, social media, graphic design, website design and upkeep, and other media services and oversee related asset creation
    - Collaborate with the Programming Director and Executive Director to continue enhancing storytelling about Yard programs, partners, and community impact.
    - Oversee merchandise sales, including replenishing inventory, overseeing new designs and production.
    - Manage The Yard’s media buying and advertising to promote performances and elevate brand
    - Manage the marketing budget. Track spending, generate reports as needed and assist with year end reports.


    BOX OFFICE
    Manage The Yard’s Box Office and Front of House systems for all public facing events, with a focus on favorable customer service.
    Spearhead volunteer recruitment and management efforts for front of house and special events

    The Marketing Manager will serve as the primary manager of The Yard’s database SPEKTRIX. Contribute to implementation and management of Spektrix database for marketing, and ticketing, maintaining data hygiene practices and strengthening data-driven decision making. Set up ticketing sales, help manage donor and customer profiles, pull ticket sales reports, act as a liaison to Spektrix agents, train and oversee Yard staff and volunteers on database related needs.

    Work to streamline and enhance outreach efforts with new database capabilities, including audience segmentation

    Track, analyze, and report on marketing outcomes and propose recommendations for improvement

    Other Duties and Responsibilities:
    Represent The Yard at conferences and other community events, growing and fortifying The Yard’s network on the island and beyond.

    - Experience managing staff, contractors, and vendor relationships
    - Exceptional interpersonal skills; track record of developing meaningful professional relationships
    - Cultural competency to work with individuals from diverse backgrounds and life experiences

    - Superb written and verbal communication skills
    - Highly organized and adept at managing multiple projects simultaneously
    - Experience with email marketing services such as Squarespace, MailChimp, Constant Contact
    - Experience with Adobe Suite (InDesign, Photoshop) and/or other creative suite programs
    - Experience working with CRM platforms such as Spektrix, Salesforce, etc.
